Overview:

Role: Office Administrator and Document Controller

Location: Abu Dhabi – UAE

Role ID: 2024-2267

Hybrid remote/In office

You will have experience in providing office administration and document control support to project teams in the rail industry.

As an Office Administrator you will play a crucial role in supporting the smooth delivery of project activities.

You will be responsible for supporting the wider project team by performing administrative tasks, document management, meeting coordination and minute taking, note-taking, change register management, and providing general project support to the project team.

Key responsibilities:

  • Provide general administrative support to ensure efficient office operations.
  • Manage and organise office files, documents, and records.
  • Coordinate meetings, including scheduling, booking venues, arranging necessary equipment, and preparing meeting agendas.
  • Assist with travel bookings and international travel risk assessments.
  • Efficiently manage document control and ensure accurate documentation storage, retrieval, and version control
  • Attend project meetings and capture accurate meeting minutes, distributing them to relevant stakeholders in a timely manner.
  • Maintain the change register and ensure all change requests are properly recorded, tracked, and communicated to the appropriate parties.
  • Provide general project administration support to the project team.
  • Collaborate with stakeholders to gather and distribute project-related information, ensuring effective communication channels are established and maintained.
  • Collaborate with cross-functional teams and external stakeholders to promote effective collaboration and information sharing.

Key Requirements:

  • 3+ years’ relevant industry experience
  • Strong attention to detail, ensuring accuracy in document management, meeting minutes, and change register management.
  • Exceptional communication skills, both written and verbal, with the ability to effectively communicate with stakeholders at all levels.
  • Proficient in using document control systems, collaboration tools, and the Microsoft Office suite.
  • A proactive and self-motivated individual, capable of working independently and as part of a team.
  • Proven ability to develop and review safety procedures, training content and documentation.
  • Ability to adapt quickly to changing priorities in a dynamic project environment and maintain a high level of professionalism in a fast-paced environment.
