Role Summary
We are in search of a proactive Executive Assistant adept at efficiently managing calendars and logistics, coordinating tasks, facilitating communication, ensuring organizational efficiency, and thriving within a collaborative team environment while supporting multiple stakeholders effectively
What’s On Your Plate?

  • Proactively execute a broad variety of administrative tasks for multiple C-level executives including but not limited to: managing an extremely active calendar of meetings, submitting expense reports, arranging complex and detailed travel plans, itineraries and agendas.
  • Plan, coordinate and ensure the C-Level schedules are followed and respected.
  • Provide a “”gatekeeper”” and “”gateway”” role, creating win-win situations for the executives & their directs.
  • Work closely and effectively with the relevant stakeholders to keep the executive well informed of upcoming commitments and responsibilities, following up appropriately.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and accommodate ad-hoc requests, sometimes outside regular work hours.
  • Maintain discretion and confidentiality in relationships with all C-Level Executives.
  • Manage Workday & Email administrative responsibilities on behalf of the executive.
  • Ownership of meeting room bookings for internal, external and DH stakeholders.
  • Track petty cash and corporate credit card invoices.
  • Managing and executing engagement initiatives for the wider teams as per ExCo requirements, with the main aim of fostering a positive work environment , resulting in increased eNPS.
  • Identify, report and follow-up on workplace inadequacies while ensuring internal meeting rooms, events setup are completed as per requirements.
  • End-to-end ownership of ExCo local, regional and global events logistics & delivery i.e summits, local and regional town halls, team building, offsites, etc.
  • Create or consolidate the relevant decks/documents/templates for meetings, town halls or summits when necessary.
  • Support with special projects coordination, ad-hoc tasks as appropriate.
